How to use AI to manage your calendar and appointments
The short answer: an AI assistant such as ChatGPT or Claude can help you sort out your schedule, spot clashes, plan around appointments, and write polite messages to reschedule. By default it cannot see or change your own calendar, so you stay in charge. You tell it what is on your plate, it helps you think it through, and you enter the final dates yourself.
Step by step
1. Gather what you know. Look at your paper diary, phone, or calendar and note the coming week or month: appointments, visits, classes, birthdays. You can type them in or paste them from an email.
2. Ask the AI to organize them. Try this prompt and swap in your own details:
"Here are my plans for next week: dentist on Tuesday at 10:30, lunch with Anna on Wednesday at 12, grocery shopping some time this week, and a Zoom call on Thursday at 2. Please put these in a clear day-by-day list and tell me if anything looks too close together."
3. Find a good time. When you need to fit something new in, say: "I need a one-hour hair appointment. I am free Monday and Thursday mornings, but I would like to avoid travelling at rush hour. Which would you suggest and why?" The AI offers an opinion, and you make the decision.
4. Plan for travel and preparation. Appointments often need more than the time slot itself. Ask: "My appointment is at 10:30 and takes 20 minutes to reach. What time should I leave, and what should I bring?" Then double-check the travel time with a map app, since the AI may guess.
5. Draft messages. Rescheduling is easier when the words are ready. Type:
"Write a short, friendly message to my hairdresser asking to move my Friday 3 PM appointment to Monday or Tuesday morning. Keep it under 50 words."
Read it, change anything that does not sound like you, and send it yourself.
6. Put the final plan in your real calendar. Enter the confirmed dates in your phone calendar or paper diary and turn on the alert. If you are unsure how, ask: "I use an Android phone. Show me how to add an event with a reminder." Some calendars can also read an AI's list if you paste it in, but check each entry afterwards.
7. Do a quick weekly check. Each Sunday, paste in your week and ask, "What might I be forgetting to prepare for?" This takes two minutes and catches surprises.
What to watch out for
Check before you rely on it
- AI can get dates and times wrong. It may misread "next Friday" or mix up time zones. Compare everything with your real calendar.
- It does not know what is already booked unless you tell it. It cannot cancel or confirm an appointment for you.
- Confirm with the source. Call or check the website of the doctor's office, clinic, bank, court, or government office to confirm any time, rule, or deadline. Do not use AI for medical or legal advice. It can help you write down questions to ask your doctor or lawyer, which is a good use.
- Medicare and insurance. AI can explain general terms, but plans and rules change. Check with Medicare or your insurer directly.
- Protect your privacy. Leave out passwords, account numbers, and full medical details when you type to an AI.
