How to use AI to write a polite complaint letter

You can use an AI chat tool to write a polite complaint letter by telling it what went wrong, what you would like done about it, and that you want a calm, respectful tone. The AI turns your notes into a clear letter in a few seconds, and you then read it, fix anything that is not right, and send it yourself.

Many people put off complaining because they worry about sounding rude, or they simply do not know where to start. AI is good at that blank-page problem. Here is a simple way to do it.

Step 1: Gather your facts

Before you open the AI tool, jot down a few plain notes: the company name, what you bought or what happened, the date, any order or account number, and what you would like them to do (a refund, a repair, an apology, a replacement). Facts make a complaint effective.

Step 2: Tell the AI who you are writing to and why

Open a free AI chat tool such as ChatGPT or Claude. Type your notes in everyday words. You do not need special commands. Here is an example you can copy and change:

"Please write a polite but firm complaint letter to a furniture store. I bought a dining table on March 3, order number 48213. It arrived with a deep scratch on the top. I called twice and no one called me back. I would like a replacement table or a full refund within 14 days. Keep it under 200 words and keep the tone calm and respectful."

Step 3: Ask for the tone you want

If the first draft sounds too stiff or too sharp, just say so. Try: "Make it warmer," or "Make it a little firmer," or "Shorten it to one paragraph." You can go back and forth as many times as you like. That is the real strength of these tools.

Step 4: Check every detail

Read the letter slowly, out loud if it helps. Make sure the dates, names, numbers and amounts match your notes. Delete anything that is not true or that you would not say yourself.

Step 5: Add your own touch and send it

Add your name, address and contact details. Send it by email, or print it and mail it. If you mail it, keep a copy, and think about asking the post office for proof of delivery. Write down the date you sent it so you can follow up if you do not hear back.

What to watch out for

Before you send, remember:

  • AI can get things wrong or invent details, such as dates, policies or promises. Never assume a draft is correct. You are the editor.
  • Do not paste sensitive details such as full card numbers, bank passwords or your Social Security number into any chat tool.
  • If your complaint is about a medical bill, an insurance decision, a bank charge or anything involving a legal right, treat the AI letter as a starting draft only. Confirm the facts with your doctor, bank, insurer, a lawyer or the official agency in charge.
  • Keep it polite. A calm letter with clear facts and a clear request usually gets a better response than an angry one.
