How to Write an Email With AI (Step by Step)

Staring at a blank email is no fun. AI can write a first draft in seconds, and you stay in charge of what actually gets sent. Here is the simple routine.

Step by step

  1. Say who it is to. A friend, your landlord, a doctor's office, a company. This sets the tone.
  2. Say what you want to happen. Reschedule, ask a question, request a refund, say thank you.
  3. Give the key facts. Dates, names, order numbers (not passwords), and anything the reader needs.
  4. Choose a tone. Warm, polite, firm, brief.
  5. Read it, edit it, then send it yourself. Fix names and facts, and make it sound like you. Nothing is sent until you press send.

Write one, step by step

  1. Say who you are writing to and why. "My landlord, about a leaking faucet."
  2. Give the facts. Dates, amounts and what you want to happen.
  3. Name the tone. Polite, firm, friendly.
  4. Ask for two versions. Choose the one that feels like you.
  5. Edit and send. Read it aloud first.

Common uses

Three full examples

  1. A refund request. Prompt: "Write a polite email to an online store asking for a refund on a lamp that arrived broken. Order number 12345, bought on October 3. I have photos. I would like the money back to my card." Result: a short email with the facts, a request and a thank-you.
  2. Declining an invitation. Prompt: "Write a warm two-sentence note declining my neighbor's party invitation because I will be out of town." Result: friendly, brief and no over-explaining.
  3. Asking for a doctor's office callback. Prompt: "Write a short message asking for a callback about my test results, with my name and best times to call." Leave out private health details until you know the message is secure.

Common mistakes

A prompt you can copy

Type this into ChatGPT, Claude or Gemini

Write a short, friendly email to my plumber asking to move Thursday's 10 am appointment to Friday morning. Keep it under 80 words.

Good to know. Add a line like use simple words and short sentences, and the draft will sound more natural.

Common questions

Will people know AI wrote it?

Not if you edit it to sound like you, which is a good habit anyway.

Can AI send the email for me?

Not in a normal chat. You copy the draft into your email and send it.
